How many drinks a wedding actually goes through

Event bars are stocked from one rule that has survived decades of catering practice: allow two drinks per drinking guest in the first hour, then one drink per guest for every hour after that. It looks crude, and it is, but it captures the shape of real service. Guests arrive thirsty, take a drink immediately and often a second while they find their table, then settle into a slower rhythm once food arrives and the dancing starts.

Written as arithmetic, drinks per drinking guest equals the number of service hours plus one. A five-hour bar means six drinks per drinking guest. Multiply by the number of guests who actually drink — not the full head count — and you have the number of pours your bar has to produce.

The rule tells you what to buy, not what any individual should consume. Six drinks spread over five hours is well above what health authorities describe as moderate drinking, and it is an average across a crowd in which some guests will have one glass and others six. Your job as a host is to buy enough that the bar does not run dry, and to run service so nobody reaches the average by hour two.

Two refinements matter. First, the share of guests who drink: at a mixed adult wedding with children and designated drivers, 75–85% is the usual planning range, and the field defaults to 80%. Second, the crowd's pace. A seated dinner for an older family drinks noticeably less than a late reception with an open bar and a dance floor, which is why this calculator applies a pace factor of 0.8, 1.0 or 1.25 to the base rule.

Turning drinks into bottles: the pour count that matters

The step most shopping lists get wrong is the conversion from drinks to containers. A 750 mL bottle holds 25.36 US fluid ounces (750 ÷ 29.5735). Divide that by your pour size and take the floor, because a partial pour at the bottom of a bottle is not a drink you can serve:

  • At a 5 fl oz wine pour: 25.36 ÷ 5 = 5.07, so 5 glasses per bottle. The 0.07 left over is a rinse, not a sixth glass.
  • At a 1.5 fl oz spirit pour: 25.36 ÷ 1.5 = 16.9, so 16 drinks per bottle.
  • At a 4 fl oz toast pour: 25.36 ÷ 4 = 6.34, so 6 flutes per bottle.

Rounding those figures up instead of down is the single most common source of a bar running dry at 10 p.m. Six glasses per bottle of wine would understate a 200-glass order by seven bottles.

Why 750 mL specifically? Because it is the dominant authorised standard of fill for wine and distilled spirits sold in the United States, set out in the Alcohol and Tobacco Tax and Trade Bureau's regulations at 27 CFR parts 4 and 5. Litre and 1.75 L bottles are also authorised and are usually cheaper per ounce, which is why the reference table below gives pour counts for all four common sizes.

Beer is simpler: one serving is one bottle, can or pint, so the drink count is the container count. Cases hold 24. Worked example: 120 guests, five-hour bar, 40/40/20 split

You are hosting 120 guests. About 80% drink, the bar runs five hours from cocktail hour to last call, the crowd is average, and you expect a 40% beer / 40% wine / 20% spirits split with a sparkling toast.

  1. Drinking guests. 120 × 0.80 = 96 drinkers.
  2. Drinks per drinker. Two in the first hour plus one in each of the remaining four = 5 + 1 = 6 drinks.
  3. Total drinks. 96 × 6 × 1.0 = 576 drinks.
  4. Split by category. Beer 576 × 0.40 = 230.4. Wine 576 × 0.40 = 230.4. Spirits 576 × 0.20 = 115.2.
  5. Beer. 231 bottles or cans, which is ⌈231 ÷ 24⌉ = 10 cases.
  6. Wine. 5 glasses per bottle, so ⌈230.4 ÷ 5⌉ = ⌈46.08⌉ = 47 bottles.
  7. Spirits. 16 drinks per bottle, so ⌈115.2 ÷ 16⌉ = ⌈7.2⌉ = 8 bottles.
  8. Toast. 6 flutes per bottle, so ⌈96 ÷ 6⌉ = 16 bottles of sparkling wine.
  9. Mixers. 115.2 spirit drinks × 4 fl oz = 460.8 fl oz ÷ 33.81 = 13.6 litres.
  10. Ice. 120 × 1.5 lb = 180 lb, covering both glass ice and chilling tubs.

Sanity-check the wine number against a second route: 230.4 glasses × 5 fl oz = 1,152 fl oz of wine, and 1,152 ÷ 25.36 = 45.4 bottles of liquid. The 47-bottle answer is higher because the floor-then-ceiling arithmetic recognises that you cannot pour across bottles. That gap — about 3% — is the real cost of the last inch in every bottle.

How to read the result and what to buy against it

Treat the drink count as firm and the category split as soft. The total is the number your bar has to be able to produce; the beer/wine/spirits split is a guess about taste that will be wrong by ten or fifteen points in one direction or another on the night.

The practical move is to buy the full quantity of anything you can return and to buy short on anything you cannot. Many retailers will take back unopened cases of wine and beer bought for an event, but a bottle chilled in an ice tub for four hours has a soaked label and is no longer returnable. Ask about the return policy in writing before you order, and keep the cases you may return out of the ice.

Watch three specific figures. Ice is the item hosts most often under-buy, because ice does two separate jobs: it goes in glasses and it chills bottles in tubs, and the second job consumes far more than people expect at an outdoor summer event. Mixers are heavy and bulky, and at four ounces per spirit drink a 20% spirits share for 576 drinks is nearly fourteen litres to carry. Mistakes that leave a wedding bar dry

  • Counting every guest as a drinker. Children, pregnant guests, designated drivers and people who simply do not drink can be a fifth of the room. Counting them inflates your order; ignoring the difference entirely between head count and drinker count is the other half of the same error.
  • Rounding pours per bottle up. Five glasses per 750 mL, not six. Sixteen shots, not seventeen. The difference compounds across a large order.
  • Timing the bar from the invitation. A 4 p.m. ceremony with a 10 p.m. finish is not a six-hour bar if the bar opens at cocktail hour and closes for the meal. Count only the hours you are actually pouring.
  • Forgetting the second refrigerator. Buying 47 bottles of white wine is pointless if you can chill twelve. Ask the venue what chilling capacity comes with the room before you finalise the split.
  • Under-ordering ice. Ice for tubs is separate from ice for glasses, and an outdoor event in summer can go through both faster than the crowd drinks.
  • Treating the toast as an extra hour of drinks. The toast is one pour per guest regardless of service length, and sparkling wine you open for the toast will not keep for later service.
  • Assuming the venue lets you supply your own. Corkage fees, licence conditions and mandatory in-house bar service vary enormously. Confirm before you buy a single case.
  • Planning quantity without planning service. Staffing, measured pours, food throughout and a firm last call do more for guest safety than any purchase figure.

This is a purchasing tool, not a serving target

The output is the stock a bar needs on hand so it does not run out. It is not a recommendation for how much anyone should drink. A US standard drink contains 0.6 fl oz (14 g) of pure ethanol — one 12 oz beer at 5%, one 5 oz glass of wine at 12%, or one 1.5 oz shot of 40% spirit — and the federal Dietary Guidelines for Americans describe moderate drinking as up to one drink a day for women and two for men. Your bar plan should assume many guests will drink well under the average. Serve measured pours, keep food and non-alcoholic drinks available all night, brief bartenders to refuse service, and arrange transport in advance. When to use a different approach

This calculator sizes an open bar with a broad drinks list. Three situations call for something else.

A limited or signature-cocktail bar. If you are serving two named cocktails rather than a full bar, work backwards from the recipe instead: multiply the spirit volume in one cocktail by the number of cocktails you expect, then divide by the bottle volume. Draught beer. Kegs are cheaper per ounce and produce less waste than bottles, but the yield depends on your glass size and on foam and line loss, which can move the count by more than a case. Size that with the keg servings calculator rather than dividing gallons by pints.

A consumption bar or a per-head package. When the venue bills by the drink or by the head, the quantity question becomes a cost question. Take the drink count from here, price it, and compare against the package.

One further note on units. Every volume field here accepts millilitres as well as fluid ounces, and the bottle arithmetic is done in fluid ounces internally because US bottle sizes are metric while US pours are imperial — the 25.36 fl oz figure for a 750 mL bottle is exactly where those two systems meet. How much alcohol do I need for 100 guests?

For 100 guests at a four-hour bar with 80% drinking, plan on 400 drinks: 80 drinkers × 5 drinks each. At a 40/40/20 split that is 160 beers (7 cases), 160 glasses of wine (32 bottles at 5 glasses a bottle) and 80 spirit drinks (5 bottles at 16 drinks a bottle). Add 14 bottles of sparkling for a toast and about 150 lb of ice. Change the hours and the drinking share and the calculator redoes all of it.

How many glasses of wine are in a bottle?

Five, at the standard 5 fl oz restaurant pour. A 750 mL bottle holds 25.36 US fluid ounces, and 25.36 ÷ 5 = 5.07 — so five full glasses and a splash. At a 6 oz banquet pour you get four glasses per bottle; at a 4 oz toast pour, six. Plan with the floor of that division, never the rounded-up figure, or your order will come up short.

What beer, wine and spirits split should I choose?

Start at 40% beer, 40% wine and 20% spirits for a general adult crowd, then adjust for what you know. A summer afternoon reception skews to beer and sparkling; a winter evening with a full bar skews to spirits; a wine-focused dinner can run 60% or more wine. Whatever you enter, the calculator rescales the three shares to 100% so you can type rough figures without doing the arithmetic yourself.

How many bottles of champagne do I need for the toast?

One bottle for every six guests at a 4 fl oz pour. A 750 mL bottle is 25.36 fl oz, so 25.36 ÷ 4 = 6.34 flutes, floored to six. For 96 drinking guests that is 16 bottles. Fill flutes to about two-thirds — an overfilled toast pour cuts you to five per bottle and leaves guests holding warm wine through a long speech.

How much ice should I buy for a party?

Around 1.5 lb per guest for a typical indoor event, which the calculator uses by default. That figure covers both jobs ice has to do: chilling bottles in tubs and going into glasses. Raise it toward 2–2.5 lb per guest for an outdoor summer event or if you are chilling a large white-wine and beer order in tubs rather than refrigerators. Should I buy 1.75 L handles instead of 750 mL bottles?

Usually yes for well spirits, because a 1.75 L bottle yields 39 drinks at a 1.5 oz pour against 16 from a 750 mL — more than twice the drinks for well under twice the price in most markets. The trade-offs are handling and returns: handles are awkward for bartenders to free-pour accurately, and a partly used one cannot be returned. Buy handles for vodka, gin and whiskey you know will move, and 750s for anything speculative.

What if my venue only allows an in-house bar?

The drink count still does the work. Give the venue the total drinks and the split rather than accepting their per-head package unexamined, and ask them to price both a package and a consumption bar against that number. Venues quote packages on a head count and an assumed pace; if your crowd drinks lightly, a consumption bar priced against 400 drinks can be substantially cheaper than a package priced against 100 heads.

Does the calculator account for guests who arrive late or leave early?

No — it assumes every drinking guest is present for the whole service window, which makes the result a deliberate slight over-estimate for most weddings. That is the safer direction to err. If a large group is arriving two hours in, model it by running the calculator twice: once for the early group at the full duration and once for the late group at the shorter one, then add the two shopping lists together.
